Donor Total Summary Export

This report has been in TouchPoint for a long time, but you may not have ever noticed it. This is an Excel export that compares giving over a period of years (that you specify) and can be limited to a specific Fund and/or a Campus.

You will find this report under Administration > Reports > Donor Total Summary Export. This is a summary report, so it does not contain individual’s donations. Also, it combines giving by family unit. It is a great way to compare giving over a number of years and by categories. The report itself has 3 tabs in the Excel workbook – one to compare giving for Members vs Non-Members; one to compare by size of gift; and one to compare by age.

Alternative Donor Details Export

The normal Donor Details export contains a lot of information – all the ‘details’ about the contributions for individuals for a date range. This alternative version still contains all the same columns, but with several more added. The added columns have the address in separate fields, includes the First and Last Name of the donor (in addition to the original fields for Head Name and Spouse Name), and adds the Family Name. The Family Name is on the row for every person in the family. Example: John and Mary Smith.

This was created to help those churches that are doing external evaluation of their donors. This gives them what they need in order to create a Word Merge and send letters based on specific criteria.

This does require that you add 2 Administration Settings to your database in order to produce this alternative version of the export instead of the default version. So take a look at the documentation if you are interested in this.

Giving Change Quarters Report

This new report is a SQL recipe that you can run from the Totals by Fund Report page. It is designed to allow you to specify a date range, such as the 1st quarter of your fiscal year and compare individuals’ giving with the same time period the year before. Because the report is looking at individuals (or couples that give jointly), and not just summary numbers, each donor/couple will be on a separate row with their total giving for the time specified and the total giving for the prior year for the same time period. And the report will display either Stopped, Decreased, Increased, or Started and will sort with the givers that have stopped giving at the top. Like all of our SQL reports, you have the option to download as Excel.

New Monthly Giving Analysis Report

We just completed this new Monthly Giving Analysis Report, which is a SQL recipe, so you can easily add it to your database if you are interested in it. The report is run from the Totals by Fund Report page and appears as an option under Other Reports. It returns a monthly total giving for Primary Adults and combines their giving. The report also includes the Last Gift Date and the Last Attended Date that was within the date range selected.

The report will combine all funds. However, if you have created Custom Fund Sets, you can select one of the sets and the report will run for just the fund(s) included in the specified set. Like most reports, you also have the option to download it to Excel.

New – Custom Fund Sets for Finance Reports

All of you finance users will be interested in this feature if you have ever wanted to see financial reports for just one Fund or for a combination of Funds, instead of having all Funds combined. We call this Custom Fund Sets, and you determine how many sets you need and which Funds make up each set. These will display in a drop down named Fund Sets. Select the set you want and run the report.

Use Case 1:

Your church has multiple Funds for each of your Campuses and you want to see reports for those Funds. Enter the Funds for each Campus as a different set. Be sure to name each Fund Set to identify it with the Campus.

Use Case 2:

You have a yearly pledge drive and you always like to see reports for both your General Budget Fund combined with that Pledge Fund. No problem! Create a Fund Set that combines those 2 funds.

We have step-by-step instructions for how to set this up on your database and a list of reports where this is used.
