Volunteer Calendar-Add Instructions & Restrict Calendar to Specific Weeks

New ImageWe recently added a couple of new features to the Volunteer Calendar that I think you will find very useful. These features are not connected to each other, only in the fact that they both apply to the Volunteer Calendar.

The first feature allows the administrator of the calendar to add instructions that will display above the grid on the registration page for the volunteer. This is the page where they select the time slots they can work. You might want to let them know that they are expected to arrive 10 minutes before the actual time, or that you need them to select one time slot for only one week of the month to serve. Go to the organization you are using for you calendar, click on the Registration > Messages tab and then select Instructions > Options.

The other feature allows you to restrict the volunteer calendar to just specified weeks of the month. For example: just display week 1 of every  month, or weeks 1 and 3 or every month. This allows you to use the calendar for special events that happen, for example, on the first Sunday of every month. It is also useful if you have a different lay leader managing the different weeks of the month. You could keep separate calendars for each week of the month so the lay leader would view and manage only that one organization – the one for that week. Find and Resolve Conflicts on Volunteer Calendars

No more volunteers getting double-booked and not being there when you expect (and need) them! We now have features in place for not only the person managing the Volunteer Calendar, but also for the volunteer himself to see at a glance where they have conflicts.

The Volunteer Calendar indicates people and time slots with conflicts, as does the Meetings tab and, or course, the individual meeting page itself. For the volunteer (or anyone that can view that person’s people record), all he has to do is click on his Involvement tab, then select Attendance and Show Future Meetings. Those meetings with conflicts will be shaded in red – showing both sides of the conflicts. From there, just decide which commitment should be eliminated. Perhaps the volunteer should just request a substitute, if the conflict is just for one or two times. If there are a bunch of conflicts, he can use his Manage Commitments page. Or the person managing the calendars may want to handle those conflicts.

Volunteer Calendar – New Small Group Filter

Our last blog post featured the new automatic sorting and filtering that we added to the Request Sub and Request More Volunteers page. Along with that, we have added some further filtering on that same page.

This filter uses small groups that have a special prefix of SG:. You create the small groups just like you would for any organization, just including the SG: in front of the name of the group.

USE CASES:
Your Volunteer Calendar is used to manage the Greeters for Sunday morning. Some greet at the North Entrance and some greet at the South Entrance. Create 2 small groups, naming them SG:North and SG:South. Then, whenever someone needs a sub, they can use the filter to find those volunteers who normally work at the same entrance.

Maybe your calendar is used for Greeters and Baristas at your Sunday morning coffee bar. Create small groups named SG:Greeters and SG:Baristas so finding a replacement or extra volunteer will ensure you find someone that normally does that job.

This filter is on the page where you compose the email either to Request Sub or Request More Volunteers. It is just below the body of the email.
