Over time, several people have asked for a simplified registration that includes the collection of contact information, answers to questions, and payment all in ONE PAGE! Well, that dream is now a reality! We are pleased to announce the addition of the One Page Forms registration type!

Control over Contact Information 

With the exception of first name, last name, and email, YOU decide what contact information is asked and/or required.

Collect Donations Instead of Fees 

Have you ever wanted to collect donations with the ability to ask questions of those donors? Now you can!

Note: This feature should only be used for truly tax-deductible purposes 
(examples: Easter flower donations, memorial giving, etc.). Please consult a tax advisor for guidance.

Submission Report 

With a new registration type comes a brand new report. The submission report includes one column for each question within the form. Read more about the submission report in our recent blog.

Registration reporting is even easier now with the newly created Submission Report. The report is run from the Cloud icon of the Involvement Blue toolbar under the Involvement Members Reports section. The Excel report contains information about each registration. If Allow Re-Register is True for the involvement, the report will provide a line item for each re-registration.

The Submission Report will be dynamic based on the questions provided in the online registration and will also contain fees information. Each question and the corresponding answers will have a separate column, versus the Registration Report that provides all the answers in one column. Basic information about the registrant including Name, Address, DOB and Grade is included as well.

We have a mini release scheduled to be deployed this Sunday night, September 11th. There are a few new things you’ll see in your system Monday morning and several items are wrapping up final features that we’ll be discussing at Summit. In case you are not able to attend Summit this year, watch the blog for more details in the coming weeks.

Fully Released New Features

  • Ticketing Enhancements – There is a new report for viewing all ticket sales with easy filters and sort capabilities. In addition to this report, several other enhancements were added to our Ticketing system for an enhanced user and admin experience.
  • Submission Report – This new report that was built as part of the One Page Forms project is now available for all registration types. Note: This will only show data for registrations that have been completed in mid-summer 2022 moving forward.
  • Limit Editing/Hide Fields – The user interface on these admin settings has been adjusted so that it is easy to use and set your requirements.

Beta / Summit Features

  • Process Builder – Several major components to the Process Builder are being released behind the scenes. Stay tuned for more information.
  • One Page Forms – This release includes the final items for One Page Forms. More information to come.

Along with providing more user-friendly and customizable Status Flag searches that can also be assigned Engagement Scores, we’ve created a way to export the information as well! The Engagement Score Report is found in the Blue Toolbar under the Cloud icon in the Reports section. You will be able to view past Engagement Score history in an Excel report for up to the last 52 weeks, 12 quarters, and 5 years based on data availability.

You can hide the Report from the toolbar along with hiding the Profile > Engagement Tab, Engagement Score badge and related search conditions using a new setting called Engagement Information Role. Limit access by adding roles under Administration > Settings > Features > Status Flags. 

Additionally, the actual Engagement Score can be hidden under another new setting called Show Engagement Score, also found under Status Flags settings. If toggled to False, users won’t be able to view the actual score in the Badge or by hovering the Engagement Score Graph.

We recently added the ability for congregants to update their Emergency Contacts and Profile Pictures very easily when checking into classes through TouchPoint Check-In. The deployment on 8/29/2022 added two new settings that will allow your church to opt to hide access to these. Simply navigate to Administration > Check-In > Profiles on the Security tab and uncheck the boxes for Allow Emergency Contact Edit and Allow Photo Edit.

IMPORTANT: Since these new Check-In Profile options now exist, you will need to log out of your Check-In kiosks and log back in, even if you do not plan to use them.

We have also updated the list of offered classes to make it even easier to find a class for your guest. They are now organized by time slot.

You asked and we answered! We are so excited to share that we now have a brand new MinistrySafe integration! With this integration, you can easily request, submit, and track both background checks and training class certifications.

Like Protect My Ministry, there are TWO options for submitting a background check.

Email for Consent: This will email the person needing a background check with a secure link to submit their PII (personal identifiable information) and consent form.

Submit with PII: This will let you enter the required information and submit the background check on the spot!

In addition to requesting, submitting, and tracking background checks, MinistrySafe also allows for requesting and tracking training classes.

Add Training: This will let you send an email invitation for a potential volunteer to access the training videos and follow up quiz. 

ACTION REQUIRED:

1. If you haven’t already done so, establish an account with MinistrySafe.
2. Look for the Integration Administrative Settings. You generate your own API key.
3. If you want to see and use the Training Classes, you must have the MinistrySafeClasses user role.

The deployment on 8/29/2022 included some enhancements to the Volunteer tab on a person’s record. Be on the lookout for another blog about the new MinistrySafe integration.

Application Information
This section is manual entry only. A user must have the ViewApplication role to see this and the ManageApplication role to edit.

Checks & Classes Approval
For this section to be shown, the Show Manual Approval Section setting (Administration > Setup > Settings > System > Administration) must be set to True. A user must have the ViewApplication role to see this section and the ManageApplication role to edit. 

NEW FUNCTIONALITY! The dates in this section will no longer automatically update. This section is now manual entry only. If you use the Protect My Ministry or MinistrySafe integrations, you do not need this section. 

Background Checks/Credit Checks
This section will only be shown if you have either Protect My Ministry or MinistrySafe credentials entered into the appropriate administrative settings. A user must have the ViewApplication role to see this and the ManageApplication role to edit.

You now have the option to submit background checks through either Protect My Ministry or MinistrySafe.

Once a background check is requested, everything seen below will be updated automatically, except for the Approval column. Once a person’s background check report has been returned, a user with the ManageApplication role can update that by selecting the appropriate selection from the dropdown menu. 

Training Classes
A user must have the MinistrySafeClasses role to see this section. Once a training has been added, that person will receive an email inviting them to watch a series of training videos and then take a short quiz. Once a training class is added, everything seen below will be updated automatically except for the Approval column. Once a person’s has achieved the appropriate grade on the quiz and those results have been returned, a user with the MinistrySafeClasses role can update that by selecting the appropriate selection from the dropdown menu.

Documents
A user must have the VolDocs role to see this section and upload volunteer documents.

New Administrative Setting 

Show Manual Approval Section – Set this setting to True to see the Checks & Classes Approval section on a person’s Involvements > Volunteer tab.

New User Roles 

MinistrySafeClasses – A user must have this role to see and edit the Training Classes section on a person’s Involvements > Volunteer tab.

VolDocs – a user must have this role to see and upload a document to the Documents section on a person’s Involvements > Volunteer tab

New Search Conditions 

8/30/2022 Update: There are some minor adjustments being made to these conditions.

These search conditions are pulling results as seen on the Background Checks/Credit Checks & Training Classes sections of a person’s Involvements > Volunteer tab.

  • Days Since Last Background Check – Searches by looking back a specific number of days.
  • Check Date Range – Searches by looking at specific date range.
  • Days Since Last Training – Searches by looking back a specific number of days.
  • Training Date Range – Searches by looking at specific date range.

Our August release is scheduled to be deployed next Monday night, August 22nd 29th. Some updates are for features that are still in development or in beta, but there are several new features and enhancements as well.

 

Here are the details of everything that is being released:

Fully Released New Features

  • MinistrySafe Integration – As previously announced, we are integrating with MinistrySafe to provide background checks and abuse-prevention training. We have also made enhancements to the Involvement > Volunteer tab on a People Record to better support the background check process.
  • Engagement Score – If you’re using Engagement Scores, you will be excited to know there is a new status badge that shows the individual’s score. You can update an Administrative Setting to specify who sees the badge. There is also a new export that shows the score over the past 52 weeks, 12 quarters, or 3 years.
  • Check-In – There is a new Profile setting that allows you to hide the photo editing ability and emergency contact ability. Additionally, Meetings are now organized by time slots inside of Check-In.
  • Status Flag – We have updated the Status Flag feature to where you are now able to both view and edit the Run Order.
  • Mobile App Involvements – You may now specify the Sort order (in the Lookup Codes) for Involvements that appear within the Mobile App.
  • Yellow Bell Icon / Red Caution Icon – We are adding new client notification features. More information will be coming!

Beta / Features In Development

  • Process Builder – We’re making great progress! This is all currently happening behind the scenes on your database. Come to Summit to learn more about this new feature!
  • One-Page Form – We are releasing a few more features, and this much-anticipated Registration Type will be in beta after this release!
  • Scheduler – We are making edits to the final items before the full release!
  • We have a new Registration Type related to reserving childcare slots and paying for childcare called Childcare Scheduler. We are releasing this behind the scenes, and it will be in beta soon.
  • The next version of your custom Mobile App will be managed inside your database’s Administrative Settings! if you see a new role pop up, it’s related to that. Expect to hear more about the new Mobile App at Summit!
  • Translations – We are laying the groundwork for portions of the web application to be translated into additional languages.

What good is it to have People Records in your database if they aren’t accurate? In this TouchPointers, Andrew walks us through how to quickly identify incomplete People Records so that we may get them updated. If we know someone’s gender/age/marital status, we want to include that information inside of TouchPoint. The more complete a picture we have of someone, the better we will be able to minister to him/her. This is especially important for your Members, the people who are closest to your church.
