CHURCH STAFF SOFTWARE BUILT FOR EVERY ROLE
Many Roles. Different Gifts.
One Body, United.
Ministry leaders carry a unique responsibility: caring for both the work of ministry and the people it exists to serve. TouchPoint brings your people and operations into one source of truth, so the same system helping run your weekend also helps you see who needs a call during the week.
One Source of Truth.
Access Built for Every Role.
One database doesn’t mean everyone sees everything. Your team works from the same church records, while each leader sees only what their role requires. Giving details stay behind finance permissions. Pastoral care notes stay with the people cleared to see them. Your church sets the boundaries, and TouchPoint keeps them in place.
Every Ministry Sees Something Meaningful.
TouchPoint Brings It Together.
A member may serve, give, attend a group, and check in their child each week. Each ministry gets to know them through a uniquely meaningful relationship. TouchPoint brings those perspectives together, helping leaders disciple with greater clarity, offer better care, and guide people toward meaningful next steps.

EXECUTIVE LEADERSHIP
The Roles Seeing The Whole Church

Executive Pastor
Your role requires a view across the whole church. TouchPoint gives executive pastors visibility across campuses, ministries, people, and operations so they can lead with a clearer picture of what’s happening.

Campus Pastor
Your campus has its own people, rhythms, and needs, but it’s still part of one church. TouchPoint gives campus pastors the visibility and autonomy to lead locally while staying connected to the whole.
DISCIPLESHIP & CARE
The Roles Closest To Your People

Children’s Ministry
Every family trusts you with their most important people. TouchPoint gives children’s ministry leaders secure check-in, classroom dashboards, and volunteer screening built for that responsibility.

Small Groups & Discipleship
Healthy groups require more than an attendance list. TouchPoint gives discipleship leaders the attendance, leader development, communication, and multi-campus tools they need to help people stay connected and keep growing.

Pastoral Care
As your church grows, it becomes harder to know who needs care and make sure no one is overlooked. TouchPoint gives you the visibility, workflows, and care tracking to follow through when people need you most.

Serve Teams
The larger your church, the more people you have on your serve teams. TouchPoint helps you schedule volunteers, communicate clearly, track involvement, and build healthy serving rhythms across your church.
DATA & SYSTEMS
The Roles That Make The Others Possible

Database Administrator
Clean data is only useful if you can keep it that way. TouchPoint gives you the tools, controls, and visibility to protect data integrity while helping every ministry work from the same reliable records.

IT & Dev
Your church shouldn’t have to work around its technology. TouchPoint gives you the secure framework and flexibility to build the systems you need for even the most complex ministry needs.

Finance
Every dollar entrusted to your church deserves to be received and accounted for with care. TouchPoint brings giving, funds, reporting, and donor records together so you can steward generosity with confidence.

Communications
The right message matters most when it reaches the right people at the right time. TouchPoint helps you keep your church’s unique branding, segment audiences, personalize outreach, automate follow-up, and engage your church strategically.
Don’t see your role? TouchPoint is built to support your entire ministry team.
You Won’t Have to Explain Ministry to Us.
Most of the TouchPoint team has served on a church staff. We’ve run check-in on Easter, closed out a giving year, and rebuilt small groups mid-semester. So when you need help, you’re not just talking to someone who knows the software. You’re talking to someone who understands ministry and knows what’s at stake on Sunday.
Every Role. The Right Answers.
Right When They Need Them.
Every leader sees your church from a different angle. TouchPoint securely connects your church data to the AI tools your team already uses. Access stays tied to each person’s existing permissions, sensitive information remains protected, and requests are logged. Instead of searching through reports, records, and screens, your team can simply ask and get the information they need to take the next step.

One church. Many roles. One shared system built to help them work better together.
Ministry Roles In A Church Management System
A ministry role is a defined set of responsibilities and matching data permissions assigned to a staff member or volunteer leader. In TouchPoint, a role determines which records a person can open, which fields they can read or edit, and which reports they can run, so each leader works from the same database with a view shaped to their actual job.
Roles are configured by your administrator rather than fixed by the software, which means a church with an unusual staffing structure is not forced into someone else’s org chart.
Yes. Field-level permissions in TouchPoint control visibility down to individual data points, not just whole modules. A children’s ministry director can see allergy information and guardian relationships without seeing giving history, and a finance team member can see contribution detail without reading pastoral care notes on the same person.
The same permission rules apply. TouchPoint’s AI access runs through the database’s own permission layer, so a request made in plain language returns exactly what that person’s role already allows and nothing more. Finance gating, personal information filtering, and audit logging all apply to AI requests identically to how they apply in the interface.
This is a consequence of building AI access into the database rather than adding it as a separate layer on top.
Churches typically see the fastest return in roles that currently spend time moving data between systems: executive pastors assembling reports, database administrators reconciling duplicate records, and finance teams matching giving to people. Care, discipleship, and children’s ministry roles usually report the largest change in day to day experience, because the information they need stops being someone else’s export.
No. TouchPoint is priced per active record rather than per user or per role, so adding a staff member or a volunteer leader does not add a license cost. Every role described on this page is included, which means permission decisions can be made on the basis of ministry need instead of budget.
